Job Title: Administrative Assistant IIStatus: Non-Exempt/HourlySupervisory Role: NoneReports To: Director of MarketingBegan in 1989 when a small group ofrural Colorado hospitals decided that there was power in numbers. Today, wehave 29 healthcare members in Colorado and Utah. Of these 29 members, 21 ownHealthcare Management, a separate entity, that provides revenue cyclesolutions to healthcare entities (bad debt collection services, early-outself-pay services, and central business office services). In 2015,formed the Community Care Alliance to provide a population healthinfrastructure for rural hospital and provider communities to learn andsucceed in the value-based healthcare environment. Developing and managing amenu of member-owned and partner programs, saves members money thathelps them remain sustainable and viable in their communities.SummaryUnder general supervision, performs a broad range of clerical andadministrative tasks to assist leadership and administrative team. Screens,refers, or responds to telephone inquiries. Maintains filing systems anddata organization. Provide program-related support for current and potentialprograms through coordination of communications, data collection,scheduling, webinar set up and moderation, event coordination, etc.Demonstrates proficiency with standard office equipment.Essential ResponsibilitiesAdministrative assistance: calendar coordination and management, writtencorrespondence (letters and emails), expense reconciliation, openingand distributing mail, filing, preparing reports, faxing, copying,scanning, proofreading, special projects, conducting research, etc.Assist with communications with existing and potential partners and internaleducation / partner program communications as directed.Reception duties: greet visitors, answer incoming calls and directappropriately, coordinate deliveries and other duties as they arise.Client Relationship Management and Communication: Keep data and informationcurrent on all clients in Salesforce and other locations as appropriate.Assist with Salesforce administration and Cvent email campaigns and events asneeded.Managed network(s) administrative assistance: coordinate meetingschedule, member correspondence, answer incoming network(s) calls,serve as a knowledge base for the network(s), and create online surveysand other duties as they arise or are assigned.Meetings and events: organize meetings, responsible for assisting withmeeting room set-up and tear down, meeting supplies, name tags, tabletents and other duties as they arise. Transcribing and dissemination ofmeeting minutes. May assist with coordinating audio and/or video conferencemeetings. Assist with coordination of educational sessions.Make travel arrangements and conference registrations.Assist as needed to purchase and restock supplies in conference rooms,salon, office, and copy room, may include both office and general supplies.Shipping: responsible for package shipping and coordination.Company-owned vehicles: Assist with maintenance, scheduling, licensingand insurance, etc.Peer Networks: may assist with logistics of Peer Network Group activitiesand meetings.Data Collection: tracks, collects and disseminates various types of data.Assist other administrative staff with keeping all common areas neat, aswell as make coffee or other beverage and food accommodations.Create, proofread, and edit internal and member-focused communications.Draft presentations, spreadsheets, and other materials using PowerPoint,Excel, Word, and other software.Collaborate with support team as needed providing overflow and/or specialproject support.Arrange meals/snacks for meetings and special occasions includingordering, pickup, set up, and clean up.Maintain the refrigerator in 485, including cleaning, stocking, andfilter changes.Distribute incoming fax and mainline voicemail accordingly.Maintain office, conference rooms, and apartment: dry cleaning,restocking, caring for plants.Knowledge, Skills and Requ
