Purpose of PositionThe purpose of the Service Manager is to have available a responsible personwho can manage the daily production activities, either in associationwith, or in the absence of, the business owner.QualificationsService Manager must be able to clearly demonstrate their ability to set andreach performance goals. They must conduct every aspect of their job in anethical manner. They must have the ability to sell recommended service;interview employment candidates; manage and motivate the company'spersonnel; work well under pressure; and resolve customer as well asemployee issues in a professional, expedient manner. In other words,"to lead by example".Service Manager must be able to work a minimum of 50 hours a week on a regularbasis.Service Manager must also have the ability to manage and control the technicalproductivity, as well as be productive themselves.Areas of ResponsibilityUnless otherwise specified, the Service Manager is responsible for all thedaily productivity in the business. This responsibility includes, but isnot limited to, a dedication to the company's mission statement, toemployee development, to company profitability and to 100% customersatisfaction. Also, maintain positive customer and employee relationshipsby operating in accordance with approved company policies and procedures asoutlined here, in the employee manual and in task-specific procedures.Many of the Service Manager's responsibilities overlap with the ServiceAdvisor's responsibilities. They assist each other toward a common goalwhere teamwork is key.Specific DutiesDaily- Supervise cleanliness of entire business facility- Open shop and get business going in the morning. (Refer toStore Opening Tasks)- Manage daily technical production, including producing own work.- Order parts for specific repair orders by telephone, fax,email and Internet.- Write up service jobs, use service manuals as needed- Add part numbers and canned jobs into software database as needed.- Write and sell service/repair to assist the achievement ofmonthly performance goals.- Follow/Maintain ATI's 10 step Relationship MarketingSystem (RMS) process.- Maintain AAA CSI program- Wrap up business and close shop at the end of the day.(Refer to Store Closing Tasks)- Parts and core return- Thank You calls and follow up phone class- Make sure techs and completing vehicle inspections- Maintain a clean and organized workspaceWeekly- Clean front office and keep presentable.- Clean parts room.- Conduct ongoing image inspections of servicedepartment/bays and uniform compliance.- Oversea Shop equipment functionality and cleanliness; frontoffice and customer area clean up, outside trash pick and maintain- Review weekly sales and ATI key performance indicators withmanagement team.- Oversee shop area and parking lot. Clean up and maintenance- Attend and hold weekly manger/employee meetingsQuarterly- Review monthly expenditures and performance goals withmanager's team.- Take physical inventoryAnnually- Assist owner in Technician Performance Review.- Take physical inventory and purge unnecessary inventory from systemExceptions to Duties- Assist with Daily Bookkeeping/bank deposits/accounts payable/payroll- Alarm response after hours- Computer maintenance and software updates- Telephone systems programming- Coolant Recycling- Order parts for Inventory (unless no other options)- Customer pick-up or delivery (unless no other options)- Assist and address employee concerns- Assist in hiring and termination of employees- Hair stylist/Beard specialist knowledge preferredPrincipal Duties and Responsibilities1. Meet and greet all customers in a gracious, professional manner.2. Begin to develop customer satisfaction indices.3. Track time for repair order to develop, maintain "standards".4. Contribute data as requested to the department operating budget.5. Strive to reduce customer wait time to 5 minutes.6. Schedule appointments on the customer appointment calendar.
