JOB SUMMARY

This is a temporary position that will assist with entering manual summonses into an electronic database by copying information from a paper ticket in to the computer. Understanding of specific rules to determine if enough information is included to be entered into the database.

Major Tasks, Duties, and Responsibilities

Accurately entering information from a paper ticket in to an electronic database while using a strong attention to detail as this information is used in court and updates the Police Records RMS.

Adhering to strict deadlines based on Court procedures.

Essential Qualifications

Education

High school diploma or equivalent.

Experience

Three to four years experience at an administrative support level.

Must be efficient and have excellent organizational skills, with a high attention to detail and accuracy.

Ability to use discretion when handling routine work, as well as confidential information.

Must have excellent customer service skills.

Must have excellent verbal and written communication skills.

Must be able to work independently, as well as in a team setting. As part of a team, should be able to identify needs of the team and be willing to help without being asked.

Must have above average word processing skills using Microsoft Word, Excel, Access and Power Point.

Flexibility and ability to adapt to different personality styles, communication styles and technological skill levels.

Background check required.

Lifting and Carrying

May be required to lift objects that weigh up to 10 pounds with assistance, if needed.

May push/pull tables while assisting in set up of training rooms.

Must have basic math skills including addition, subtraction, multiplication, and division to perform a variety of tasks.

Must be able to answer questions regarding personnel policies and administrative regulations as well as routine questions.

Must be able to communicate both verbally and in writing with department staff, other City employees and general public in a variety of settings.

Reasoning

Must have ability to use good judgment when responding to requests made by department staff, other City employees, as well as personnel from other municipalities requesting information.

WORK ENVIRONMENT

Work is generally performed in an office environment.

Work requires the ability to interact with a wide variety of personnel from diverse backgrounds and in contentious and/or sensitive situations.

Work volume may be high.

Work involves shifting priorities and numerous interruptions.

Work involves meeting numerous deadlines, processing time-sensitive information and maintaining strict confidentiality regarding sensitive personnel issues.
