Job Summary

The Operations Program Manager oversees multiple program areas within Disability Services and maintains continuity of procedures and processes within the office. This position manages the front office, the accommodation letter notification process, and overall administration of internal business support functions. You will also collaborate with department staff on updating policies and procedures to implement productive workflow. Ensuring operations and services are effectively meeting needs of students, faculty, and staff.

What Your Key Responsibilities Will Be

Operations and Process Management

  • Oversee areas related to customer service, student record management, and departmental communications.

  • Responsible for comprehensive review of procedures and processes to ensure efficiency in all aspects of daily operations.

  • Regularly review processes and materials for disseminating information about Disability Services, also overseeing from, management and calendaring systems.

  • Ensure office compliance with university and departmental record retention policy.

  • Provide oversight for front office communications and oversee appropriate referrals to campus and community resources as needed.

  • Ensure consistency of department policies, internal forms, and publications (i.e. website , brochures, biogs, etc) related to operations and services.

  • Maintain department website, making edits as approved by the Director.

  • Collaborate with Strategic Relations and other CU Boulder departments to develop and update department marketing materials , as approved by the Director.

  • Delegate liaison duties, such as time collection and payroll, parking assignments, OIT requests, Telecommunications, BuffOne card access, room scheduling, C4C Building Committee, security, etc.

  • Serve as primary purchasing agent and manages department's inventory of standard supplies.

  • Coordinate invoicing of services external to Disability Services(international Education Center, Continuing Education, UCCS and other entities).

  • Provide quality assurance for updates to student records in CU-SIS, ensuring departmental staff are consistent with digital processes.

  • Work with University Information Systems (UIS) to maintain and update CU-SIS, ensuring it meets current business needs for department.

  • Provide training to Disability Services staff related to document management and records management systems.

  • Process accommodation letters to enrolled students, as well as early notification letters to course instructors.

  • Maintain accommodation notice in faculty portal in collaboration with OIT and UIS.

  • Serve as liaison to Registrar to communicate priority registration approval.

  • Manage office compliance and process related to the National Voter Registration Act.

Supervisor

  • Supervise all staff that perform functions in support of front office operations, including on-call, temporary, and student staff.

  • Responsible for hiring, training, and supervising front office staff.

Data Management

  • Work with stakeholders/developers to effectively design, maintain, and evaluate internal systems.

  • Gather, organize, and disseminate information to assist in the department's strategic planning.

  • Coordinate data collection for statistical reporting and creates queries in collaboration with the Data AnalysUProject Manager, UIS and other system Disability Services offices.

  • Evaluate department business needs to continually evolve systems and meet business needs in an innovative manner.

  • Provide departmental staff training to ensure appropriate and accurate use of departmental and university systems.

  • Maintain accurate information regarding staff caseloads, student status, retention, and other service/operations data.

  • Oversee and ensure accurate data collection and reporting to Data Analyst/Project Manager and leadership.

    Professional Development

  • Attend professional conferences, workshops, seminars, training sessions, and/or professional organizational meetings.

  • Stay abreast of current research in the field and standard operating practices at peer institutions, serving as an overall resource to the department.

Special Projects

  • Serve as a Disability Services representative on institutional committees and undertakes special projects/duties as assigned.

What We Can Offer

The anticipated starting salary range is $47,000.

What We Require

  • Bachelor's degree in business, management, education administration, information technology, public administration or closely related fields plus 2 years of professional experience.

What You Will Need

  • Excellent working knowledge of Microsoft Office.

  • Master's degree in business, management, education administration, information technology, public administration or closely related fields plus 2 years of professional experience.

  • Experience in website design and maintenance.
